Closing the post-PO gap with AI-assisted email processing

How manufacturing companies eliminate manual email triage by letting AI read, classify, and route supplier responses, without changing how suppliers work.

The gap

A purchase order leaves the ERP and the system's knowledge of it stops there. It does not know whether the supplier confirmed, when the material ships, where the container is, or which documents are missing.

All of that lives in email. A buyer sends a confirmation request and waits days. When the reply comes, someone has to read it, work out which order it refers to, decide what it means, and update the record by hand. That manual triage is the post-PO gap in its most concrete form.

The use case

A manufacturer running hundreds of purchase orders a year with a supplier base that is only partly digitized. Suppliers answer by email because that is how they have always worked. The goal is not to get them to change. The goal is to stop the buyer team from being the parser.

How AI Inbox handles it

Every inbound supplier email is captured. Before a buyer opens it, AI:

  1. Classifies the intent. Acceptance, change request, or milestone update.
  2. Links it to the right order. Using references in the subject, body, and attachments.
  3. Summarizes the thread. A long chain becomes one analysis card.
  4. Recommends an action. With a confidence score and the reasoning behind it.

The buyer sees a queue of pending actions, each tied to its PO. They confirm or reject. Nothing commits without that click. On confirmation the platform updates and the ERP stays in sync.

What changes for each side

For suppliers: nothing. No login, no portal, no training. They send the same emails to the same addresses.

For buyers: the reading and matching disappears. What remains is the decision, the part that needs a person.

For the rest of the company: logistics, customs, finance, and operations see the same order state, updated in one place at the moment the buyer confirmed.

Where it goes next

The next phase adds change extraction into editable line items, part-level change detection, and bulk grouping of pending actions. Each follows the same rule: AI proposes, a person confirms.
