Supplier onboarding without a supplier portal
A practical guide to getting 100% supplier participation when your suppliers refuse to adopt new tools. Quloi's email-first approach explained.
The objection that stops most projects
Before a single configuration is made, someone asks it: will our suppliers, carriers, and customs brokers actually feed information into this platform? Or are we investing in something that leaves us where we are?
It is a fair objection. Plenty of teams have rolled out a portal and watched participation stall. The suppliers with the least digitization, often the ones you most need visibility into, are the least likely to log in.
Two ways in, not one
Quloi is built so that supplier participation does not depend on supplier behavior. There are two doors.
Door one: the platform. Willing suppliers log in to confirm orders, update milestones, and upload documents. Onboarding is fast: add the supplier's email domain and they are in.
Door two: email. For suppliers who will not adopt a new tool, AI Inbox lets them participate entirely over email. They send what they always send. Quloi reads it, identifies the intent, matches it to the right PO, and puts the action in front of your buyer with a confidence score. The buyer confirms on their behalf.
Both doors lead to the same place: one order record, one status, one document set.
Software that only works when suppliers log in has an adoption ceiling. We designed Quloi so that even suppliers who never open the platform can still participate.
A practical onboarding sequence
Map the supplier base. Which suppliers are likely to log in, and which are not? Do not try to convert the second group. Route them through email from day one.
Add domains, not accounts. Onboarding by email domain means the supplier does nothing for their messages to be recognized and linked.
Let the buyer team be the front line. Every supplier email becomes a pending action in the buyer's queue. Buyers confirm acceptances, changes, and cargo-ready signals. Suppliers never see a difference.
Move willing suppliers to the platform over time. That is a bonus, not a prerequisite.
Why this is the whole point
The value of a supplier platform is not the portal. It is the moment when procurement, logistics, customs, finance, and operations all look at the same version of an order. That only happens if every supplier is in the picture, including the ones who will never change how they work. Email-first is how you get to 100% without asking anyone for permission.
