The starting point
Vitro is the largest glass manufacturer in Mexico. Its import supply chain runs across many suppliers, forwarders, and customs brokers, and every one of those relationships produces documents: invoices, bills of lading, packing lists, certificates.
Before Quloi, that documentation was fragmented. Files lived in inboxes, shared folders, and email attachments. When someone needed the current version of a document, the search started with a question to a colleague, and often ended with a second email to the customs broker asking for a copy that already existed somewhere.
The problem was not the ERP. The ERP recorded the purchase order and the receipt. Everything in between, the external journey of the order, was invisible to it.
What changed
Vitro brought its import purchase-to-pay process into Quloi, with every order, shipment, and document linked to the record it belongs to.
Documents now live in a centralized repository, order-linked and versioned. Instead of asking who has the latest file, the team opens the order and finds it there.
Shipments are tracked in real time across the import supply chain, so the team knows the status and location of materials at any moment, and who is the next responsible party who needs to act.

The results
Document retrieval time down by more than 50%. Finding an invoice or a bill of lading went from a search across inboxes to a few seconds inside the order.
Fewer emails with customs brokers. With documents exchanged and stored in the platform, the back-and-forth of resending files and confirming versions dropped.
Audit readiness for SAT. Every document carries its version history and audit trail, so a SAT review no longer means scrambling to reconstruct a paper trail from email.
Why it worked
Quloi did not replace Vitro's ERP. It gave the ERP the external visibility it was never designed to have: one place where the procurement team, suppliers, forwarders, and brokers work on the same order, with the same documents, in context.
